These terms apply to the Afrimedicare website, the referral service and the portals (hospital portal and management system, patient portal and agent portal). By creating an account, accepting an invitation, signing in or using any of them, you agree to these terms. If you are accepting for a hospital, clinic or company, you confirm you are authorised to do so on its behalf.
1. Who we are
Afrimedicare ("we", "us") is a medical referral and coordination service based in Monrovia, Liberia. We connect patients and referring hospitals with accredited partner hospitals abroad and we provide hospitals with an online management system. Contact: support@afrimedicare.com.
2. Definitions
- Referring hospital: a hospital or clinic that refers patients to us and uses the hospital portal.
- Treating hospital: an accredited hospital abroad that provides treatment.
- Patient: a person referred for treatment, or their legal guardian.
- Agent: a marketing agent who introduces hospitals to Afrimedicare.
- Coordinator: a member of our team who handles a referral.
- Portals: the hospital portal (including the management system), the patient portal and the agent portal.
- Case: one patient's referral, from the first message to the follow-up after treatment.
3. What we do and do not do
We coordinate: we collect the medical file, obtain a written quote from a treating hospital, arrange travel, accommodation, transfers and interpreters, and stay in touch during treatment and follow-up.
We do not provide medical care, diagnosis or medical advice. Every medical decision, treatment and its outcome is the responsibility of the treating hospital and its doctors. Quotes, timelines and expected results come from the treating hospital; we pass them on in good faith and tell you when they change.
Afrimedicare is not an emergency service. In an emergency, contact local emergency services.
4. Accounts and access
- Accounts are personal. Keep your password private and do not share your login. Tell us at once if you believe someone else has used it.
- Hospital accounts are created by a hospital's team admin or by our team, always by email invitation. Each person in a hospital must use their own account.
- Passwords must have at least 8 characters with a letter and a number. Two-factor authentication is available and recommended.
- You must give a real, working email address and keep it up to date. A changed address must be confirmed before the portal opens again.
- We may suspend or close an account that breaks these terms, is used fraudulently, or has been inactive for a long time.
5. Referring hospitals
A referring hospital that uses the portal agrees that:
- it has a lawful basis, and where required the patient's informed consent, to share the patient's personal and medical data with us and with the treating hospital abroad;
- the information it enters (patient details, medical history, documents) is accurate and up to date, and it corrects errors without delay;
- only its authorised staff use the portal, each with their own account, and the team admin removes people who leave;
- it keeps the quotes, prices and documents of a case confidential and uses them only for that patient;
- the management system (wards, pharmacy, staff, billing, payroll) is a tool it operates itself; the hospital remains responsible for its own records, regulatory duties, taxes and payments to its staff.
Referring hospitals do not receive payment or commission from Afrimedicare for referring patients.
6. Patients
As a patient (or guardian) you agree that:
- you give us true and complete information about your health, and tell us of changes;
- you understand that the treating hospital decides on your care, and that a quote is an estimate that may change after medical review, in which case we tell you why;
- travel documents, visas, insurance, vaccinations and fitness to travel are your responsibility, with our help where we offer it;
- you follow the treating hospital's instructions before, during and after treatment.
7. Quotes, prices and payment
- A written quote is normally sent within 48 hours of receiving a complete medical file. It is itemised and valid for the period stated on it.
- The treating hospital's price is paid to the treating hospital under its own terms, unless the quote says otherwise. Our coordination services are priced on the quote.
- Accepted payment methods are shown on our website. Bank and card charges are paid by the payer.
- If a case is cancelled after bookings have been made, the costs that cannot be recovered (flights, hotel nights, deposits) are due.
- Bills and receipts issued through the hospital management system carry a QR code that lets anyone verify them on our website.
8. Marketing agents
An agent who uses the agent portal agrees that:
- the agent code and sign-up link are personal and may only be used to introduce hospitals who agree to be introduced;
- the agent makes no promise about prices, outcomes, timelines or approval of a hospital; only our team approves hospitals and only treating hospitals set prices;
- commissions are calculated as shown in the agent portal, are paid only on accepted quotes that are actually paid, and may be cancelled where a case is cancelled or refunded;
- the agent does not collect patients' medical information and does not receive it;
- the agent follows the law on marketing and does not make misleading claims about Afrimedicare or the hospitals.
9. Confidentiality and data
Medical data is confidential. Who sees what:
- Our coordinators see the cases they handle.
- The treating hospital receives the medical file of the patient it treats.
- The referring hospital sees the cases it referred.
- The patient sees their own case and has a private conversation with their coordinator that the referring hospital does not see.
- Agents see the hospitals they introduced and the status and value of cases, not medical details.
How we process personal data is described in our Privacy policy, which forms part of these terms.
10. Acceptable use
You may not use the portals to:
- enter false information or impersonate someone;
- access data of a patient, hospital or person you are not entitled to see;
- upload files that contain malware or unlawful content;
- interfere with the service, probe its security or try to bypass access controls;
- copy, resell or scrape the service or its content;
- send unsolicited messages to patients, hospitals or doctors.
11. Content and intellectual property
The website, portals, designs, texts and software are ours or licensed to us. You keep the rights to the data and documents you upload and give us the permission needed to store, show and transmit them to deliver the service. Hospital logos and doctor photos shown on the website are used with the hospital's permission.
12. Availability and changes
We aim to keep the service available at all times but do not guarantee it. We may change, update or withdraw features, and we may suspend the service for maintenance or security reasons. We keep backups, but you should keep your own copies of important documents.
13. Liability
To the extent the law allows:
- we are not liable for the acts, omissions, treatment or outcomes of a treating hospital, a doctor, an airline, a hotel or a transfer provider;
- we are not liable for indirect losses, lost profit or lost data;
- our total liability for a case is limited to the coordination fee we received for that case.
Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by our negligence, or for fraud.
14. Ending the agreement
You can close your account by writing to us. A hospital can ask us to close its portal; cases in progress are completed first. We can end access with notice, or at once where these terms are broken. Clauses about confidentiality, data, liability and law continue after the end.
15. Changes to these terms
We may update these terms. The version date is shown at the top. When the terms change in a way that matters, portal users are asked to read and accept the new version at their next sign-in before continuing.
16. Law and disputes
These terms are governed by the laws of the Republic of Liberia. We will try to resolve any dispute with you amicably first; failing that, the courts of Monrovia, Liberia have jurisdiction, without taking away rights you have as a consumer under the law of the country where you live.
